Following the release of the 2025 Kenya Junior School Education Assessment (KJSEA) results and subsequent Grade 10 placements, the Ministry of Education has set up a streamlined process for students who wish to request a transfer to a different senior school. This process is now primarily digital through the Grade 10 Selection System. Below is a list of required documents and steps to follow for students seeking a school transfer.


Required Documents for Grade 10 School Transfer Application

  1. Assessment Number
    • The student’s unique KJSEA index/assessment number, which was used during the 2025 examinations, must be provided. This number is essential for tracking the student’s academic history.
  2. KJSEA Result Slip
    • A copy of the KJSEA result slip will serve as proof of the student’s performance in the 2025 KJSEA assessments. The results are derived from the following:
      • 20% from KPSEA (Kenya Primary School Education Assessment)
      • 20% from school-based assessments conducted in Grades 7 and 8
      • 60% from the Grade 9 summative assessment
  3. Birth Certificate
    • The student’s birth certificate is required to verify their identity. This is necessary for updating student profiles during the transfer process.
  4. Formal Transfer Request
    • A formal transfer request must be submitted through the head of the junior school the student attended. This request will officially initiate the process of transferring the student to a different senior school.
  5. Subject Combination Selection
    • The applicant must provide documentation detailing their preferred learning pathway (STEM, Social Sciences, or Arts and Sports) as well as the subject combinations they selected and tested in during the Grade 9 KJSEA examinations.

Transfer Procedure for Grade 10 School Transfer (2025/2026)

The transfer process requires several steps to ensure successful placement at the desired senior school:

  1. Request Submission
    • Parents or guardians must formally request the transfer through the Head of Junior School at least two weeks before the scheduled reporting date, which is January 12, 2026.
  2. Vacancy Declaration
    • The desired senior school must first declare available slots for Grade 10 students through the respective County Director of Education or Subcounty Director of Education. This ensures that there is a vacancy before the parent makes the transfer request.
  3. Ministry Approval
    • Transfer approvals will be based on the available capacity at the senior school and the student’s performance. Priority will be given to students who had previously selected that school during the initial placement process. This step helps to prevent confusion and overburdening of schools, as well as ensuring that there is adequate space for the student.
  4. Virtual Responses and Instructions
    • Once the transfer is approved, the Ministry of Education will issue joining instructions online. Printed transfer letters will no longer be issued by schools for replacement cases. Parents and students will receive these instructions virtually through the Grade 10 Selection System.
  5. Updates in the Kenya Education Management Information System (KEMIS)
    • The final admission will only be entered into the KEMIS after the student physically reports to the new school following a successful transfer process. This ensures that the student’s record is updated in the national education system.
